Under the leadership of the Career Services Manager, the Career Services Associate provides operational, administrative, and student support for all internship and career development programs, both local and international. The role serves as a primary point of contact for students throughout the internship lifecycle—from application and placement to training, documentation, and completion requirements.
The Career Services Associate plays a key role in ensuring excellent student experience, strong industry partnerships, and efficient internship program execution aligned with institutional goals and industry standards.
Essential Functions
Internship Processing & Placement
- Support the planning, implementation, and evaluation of all internship programs, including internal, local, and international placements.
- Coordinate closely with Assistant Managers and academic departments to ensure smooth internship operations and student deployment.
- Manage internship applications, onboarding requirements, documentation, and placement processes in a timely and organized manner.
- Serve as the primary contact person for students regarding internship concerns, requirements, schedules, and placement updates.
- Facilitate internship orientations, seminars, and pre-deployment briefings for students.
- Assist in preparing students for internships through training coordination and career readiness initiatives.
- Monitor internship progress, reporting requirements, evaluations, and internship grade tracking
- Ensure student satisfaction by delivering responsive and service-oriented support throughout the internship experience.
- Contribute to process improvement initiatives to enhance operational efficiency and student experience within the placement office.
- Coordinate internship-related requirements such as medical clearances, contracts, MOAs, and other compliance documents.
- Assist students with visa application requirements for international internships.
- Prepare Memoranda of Agreement (MOA) for local and international internship partnerships.
Student Career Development
- Support the implementation of career development and internship preparation programs.
- Assist in organizing workshops, seminars, mock interviews, employer talks, and career readiness activities.
- Monitor and evaluate the effectiveness of training programs and student engagement initiatives.
- Maintain awareness of current industry trends and student expectations to help improve career services offerings.
- Help maintain a professional, student-centered, and industry-competitive Career Development Office environment.
- Collaborate with external trainers, industry professionals, and organizations for specialized student development programs.
- Provide guidance and support to students regarding career pathways, internship preparation, and professional conduct.
Industry Partnership & Employer Relations
- Build and maintain strong relationships with industry partners to support successful internship and graduate placements.
- Regularly communicate with employers and partner organizations to ensure strong collaboration and high satisfaction levels.
- Represent the institution professionally in networking events, industry meetings, and partnership activities.
- Identify and develop new internship and employment opportunities for students and graduates.
- Coordinate with industry partners regarding internship openings, student endorsements, evaluations, and partnership requirements.
- Provide excellent partner support through proactive communication and responsive service delivery.
- Help develop communication channels and engagement initiatives for partners, including newsletters, digital updates, and partnership campaigns.
- Maintain and regularly update the master database of industry partners and employer contacts.
- Contribute to the continuous growth and strengthening of the Industry Partner Network.
Administrative & Operational Support
- Maintain accurate databases, records, reports, and internship masterlists.
- Assist in organizing and executing career services events, employer engagement activities, and student programs.
- Manage and update communication platforms such as Facebook Pages and Groups, LinkedIn Groups, LMS platforms, mobile applications, and other digital channels.
- Coordinate with internship advisers and faculty members regarding student internship concerns and academic requirements.
- Prepare reports, presentations, and documentation related to internship and career services operations.
- Attend meetings with industry partners and stakeholders for Career Services projects and initiatives.
- Perform other duties and responsibilities as assigned by the supervisor.
